West Wood Club Member Code of Conduct Policy
1. Introduction and Purpose
This Code of Conduct outlines the expected standards of behaviour for all our members, visitors and guests while on all West Wood Clubs premises. Our primary goal is to ensure a safe, inclusive, and respectful environment for all, including our members and our dedicated staff. Failure to adhere to this code may result in immediate action, up to and including the termination of membership.
2. Respect for Staff and Personnel
West Wood Clubs are committed to providing a professional and welcoming experience. Our staff are here to assist you, ensure your safety, and maintain the facility. We require all members to treat our employees with the utmost respect and courtesy.
West Wood Clubs has a Zero Tolerance for STAFF Abuse Rule. Any abuse by a member towards staff as indicated in this policy will be subject to immediate and permanent termination of membership, without refund.
Unacceptable Conduct Towards Staff Includes:
Verbal Abuse and Harassment: Using aggressive, offensive, profane, or insulting language, comments, or gestures toward any staff member.
Intimidation or Threats: Engaging in behaviour that makes a staff member feel physically or psychologically unsafe, including any form of threat, bullying, or aggressive posturing.
Physical Contact/Assault: Any form of unwanted physical contact, touching, pushing, or physical assault is strictly prohibited and will be reported to the Gardaí.
Disrupting Duties: Intentionally interfering with a staff member's ability to perform their job, including failing to follow reasonable instructions regarding health and safety, facility rules, or equipment usage.
Personal Demands: Harassing staff for personal or private information, or making excessive, unreasonable, or inappropriate personal demands.
Discrimination: Engaging in discriminatory remarks or actions based on a staff member's gender, race, religion, sexual orientation, disability, or any other protected characteristic.
3. Filming and Photography on Premises
To protect the privacy, safety, and comfort of all individuals, filming, photography, or audio recording of any person—including staff and other members—is strictly prohibited anywhere on West Wood Clubs premises without prior, explicit, and written consent from Club Management.
Specific Rules:
No Unauthorised Filming/Photography: This includes the use of mobile phones, cameras, wearable devices, or any other recording equipment.
Swimming Pool and Wet Areas: Mobile phones and all recording devices are strictly banned from the immediate swimming pool deck and Jacuzzis. This is enforced for the safety of all members, to prevent distractions for lifeguards, and to uphold the privacy of those in swimming attire.
Focus on Self Only: Members may record or photograph only themselves for training purposes, provided that:
No other member or staff member is visible or audible in the background.
The recording does not obstruct equipment or traffic flow.
The member immediately ceases recording if asked to do so by any staff member.
Restricted Areas: Filming and photography are absolutely forbidden in all changing rooms, washrooms, toilets, saunas, steam rooms, and private treatment areas.
Violation: Any violation of this policy may result in the immediate demand to delete the recording and suspension or termination of membership.
4. General Standards of Behaviour
In addition to the above, all Members must adhere to the following standards:
Respect for Staff and Fellow Members: Treat all Staff and Members with courtesy and respect. Avoid making unsolicited or inappropriate comments.
Equipment Etiquette:
Wipe down all equipment after use with the provided sanitizing materials.
Return all weights, bars, and accessories to their designated storage locations.
Respect time limits on cardiovascular equipment during peak hours.
Dress Code: Wear appropriate, clean, and modest gym attire and footwear at all times in fitness areas.
Communication: Use appropriate language and avoid shouting or loud conversations that disturb others.
Personal Hygiene: Maintain a high standard of personal hygiene.
5. Social Media Harassment and Online Conduct
This policy extends to our member’s conduct online, particularly when that conduct impacts West Wood Clubs, its staff, or its members.
Zero Tolerance for Online Abuse: Members must not use social media platforms, forums, or review sites to harass, defame, bully, or intimidate The West Wood Clubs staff or other members.
Privacy of Staff: Posting photographs or videos of staff members online, even if taken outside the club, with the intent to harass, ridicule, or share private information is a serious violation of this Code.
Personal Demands: Harassing staff Online for personal or private information, or making excessive, unreasonable, or inappropriate personal demands.
Misrepresentation: Members must not create social media accounts, posts, or profiles that falsely represent themselves as employees or representatives of West Wood Clubs.
Threats/Hate Speech: Using online channels to issue threats or promote hate speech against The West Wood Club, its staff, or its members is strictly prohibited.
Consequences: Any content posted online that constitutes harassment or a violation of this Code will be subject to the same disciplinary actions as if the conduct occurred on Club premises.
6. Enforcement and Consequences
Any violation of this Code of Conduct Policy will be reviewed by West Wood Club Management. Consequences for breaching this policy may include, but are not limited to:
A formal verbal warning.
A written warning placed on the Member's file.
Temporary suspension of membership privileges.
Reporting of issue to Gardai in appropriate circumstances.
Immediate and permanent termination of membership, without refund.
